From VMware Disruption to AWS-Native Stability in Three Weeks: How a Leading Defense Research Institute Rebuilt Its Disaster Recovery Environment to Protect Mission-Critical Operations

Effectual migrated 120 virtual machines and 30 TB of storage to an AWS-native disaster recovery architecture in just three weeks, eliminating VMware licensing risk and strengthening resilience for mission-critical defense research systems.

Advancing Mission Critical Defense Research and Innovation

A leading research institute within a major research university plays a critical role in advancing technologies that support United States national security priorities. Sponsored by the United States Army and the Department of Defense, the institute focuses on human centered simulation, emerging technologies, and advanced research initiatives that help strengthen defense capabilities.

Because its work directly supports mission critical defense programs, the institute relies on highly resilient technology infrastructure to ensure uninterrupted access to research environments, simulation platforms, and sensitive data. Maintaining operational continuity is essential to sustaining the institute’s ability to deliver innovative solutions that support national defense and government partners.

The Challenge: Replacing VMware Based Disaster Recovery Under Extreme Time Pressure

The institute had been operating its disaster recovery environment on VMware Cloud on AWS (VMC), with VMware Cloud Disaster Recovery (VCDR) integrated into its architecture. The environment also leveraged Amazon FSx for NetApp ONTAP to support file share replication and ensure data availability across systems.

This stable architecture was suddenly upended when Broadcom announced changes to VMware licensing, issuing service shutdown notices that forced the institute to quickly replace its existing disaster recovery platform. The institute was given just three weeks to migrate its disaster recovery environment before losing support for the existing solution. Without a new solution in place, the organization risked losing the ability to recover critical systems in the event of an outage.

The team had to migrate a complex disaster recovery environment that included:

  • 120 virtual machines
  • 30 TB of storage
  • Three network-attached storage appliances
  • Five physical file share servers

All of this needed to be completed within an extremely compressed timeline, leaving virtually no margin for error. Any disruption could jeopardize the institute’s ability to maintain continuity for its mission-critical defense research programs.

The Solution: Rapid Migration to an AWS Native Disaster Recovery Architecture

Facing an urgent three-week deadline and new risks created by changes to VMware licensing, the institute partnered with Effectual to rapidly transition to a more sustainable, AWS-native disaster recovery architecture. The goal was to replace the existing VMware-based environment with a solution that would reduce operational complexity, improve resilience, and deliver more predictable long-term cloud costs.

Effectual designed and implemented a new disaster recovery strategy built entirely on native AWS services. The new architecture leveraged Amazon Elastic Compute Cloud (Amazon EC2) and AWS Elastic Disaster Recovery to replace the institute’s previous VMware Cloud on AWS and VMware Cloud Disaster Recovery environment. This approach enabled reliable replication and rapid recovery of critical workloads while eliminating dependence on VMware licensing.

To support high-performance storage and file share replication, the environment was enhanced using Amazon FSx for NetApp ONTAP with SnapMirror replication. This configuration enabled the institute to maintain seamless support for its network-attached storage systems and physical file share infrastructure while improving data protection and recovery capabilities.

Within an aggressive three-week timeline, Effectual successfully migrated the institute’s disaster recovery environment, including virtual machines, NAS appliances, and physical servers. The resulting AWS-native architecture simplified ongoing operations, reduced licensing complexity, and established a more resilient, cost-efficient disaster recovery platform for the institute’s mission-critical research systems.

The Results: AWS-Native Stability for Mission-Critical Research

Three-week migration with zero disruption to research operations

120 virtual machines and 30 TB of storage migrated successfully

VMware licensing risk eliminated with an AWS-native architecture

Stronger disaster recovery with improved RPO and RTO targets

By transitioning from VMware to an AWS-native disaster recovery architecture, the institute eliminated uncertainty created by sudden changes to VMware licensing while establishing a more stable and resilient platform for its critical systems.

The new environment provides stronger disaster recovery capabilities, simplified infrastructure management, and more predictable cloud cost management. By leveraging native AWS services, the institute now benefits from a disaster recovery strategy designed for long-term scalability and operational reliability.

Beyond resolving an immediate operational risk, the migration represented an important strategic step forward. The institute successfully aligned its infrastructure with a more sustainable cloud architecture that supports the long-term demands of its mission-critical defense research programs.

In Their Words

“Effectual’s collaborative approach and unwavering support gave us full confidence in the sustainability of our new solution. Their professionalism and responsiveness made a complex transition significantly smoother and ultimately successful.”

– Chief Information Officer, Leading Defense Research Institute at a Major Research University

Why the Institute Trusted Effectual to Deliver

Effectual had previously designed and implemented the institute’s original VMware-based architecture, establishing a strong technical partnership built on deep AWS expertise and an understanding of the institute’s mission-critical systems.
